Privacy Policy

Plain-language summary: We only collect the information you give us when you book a demo (through Calendly) and basic, anonymized usage data (through Google Analytics). We use it solely to run and improve chart2chart and to contact people who asked for a demo. We do not sell your personal data.

This Privacy Policy explains how CHART TO CHART, LLC (“chart2chart,” “we,” “us,” or “our”), a Texas limited liability company, collects, uses, discloses, and protects information in connection with this website (the “Site”). This Policy is designed to comply with applicable U.S. federal law and the laws of the State of Texas, including the Texas Data Privacy and Security Act (TDPSA).

By using the Site, you agree to the collection and use of information in accordance with this Policy. If you do not agree, please do not use the Site.

1. Scope of this Policy

This Policy applies to information collected through this marketing Site, including when you book a product demonstration. It does not apply to the chart2chart patient application, which handles protected health information under separate terms and, where applicable, the Health Insurance Portability and Accountability Act (HIPAA) — see the HIPAA note below.

The Site is operated from the United States and is intended for a U.S. audience. If you access the Site from outside the United States, any information you submit will be transferred to, processed, and stored in the United States.

2. Information we collect

a. Information you provide when booking a demo

We use Calendly to schedule demos. When you book, Calendly collects and shares with us the information you submit, which typically includes:

  • Your name;
  • Your email address;
  • Your phone number (if provided);
  • Your organization or clinic name and role (if provided);
  • Scheduling details (selected date and time, time zone) and any message you include.

b. Information collected automatically

We use Google Analytics to understand how visitors use the Site. This service may collect, in aggregated and largely de-identified form:

  • Device and browser type, operating system, and language;
  • Approximate location derived from IP address (IP addresses are truncated/anonymized where supported);
  • Pages viewed, referring URLs, time on page, and interactions;
  • Cookie and similar identifiers used to measure usage over time.

We do not intentionally collect sensitive personal data or biometric data through this Site.

3. How we use information

We use the information described above only for the following purposes:

  • To schedule, prepare for, and conduct product demonstrations;
  • To contact people who have expressed interest by booking a demo, and to respond to related inquiries;
  • To operate, maintain, analyze, and improve the Site and our service;
  • To protect the security and integrity of the Site and to comply with legal obligations.

We do not use your personal data for unrelated purposes, and we do not sell it. Any marketing or follow-up emails we send to demo requesters will include a way to unsubscribe, consistent with the federal CAN-SPAM Act.

4. Cookies & analytics

The Site uses cookies and similar technologies, primarily through Google Analytics, to measure and improve performance. Analytics cookies are set only after you accept them through the cookie banner shown on your first visit. If you decline, Google Analytics is not loaded, and you can continue to use the Site normally; we remember your choice in your browser’s local storage.

You can also control cookies through your browser settings, and you can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. Disabling cookies may affect some Site functionality.

5. Third-party services

We rely on trusted third-party providers that process data on our behalf or under their own policies:

  • Calendly — demo scheduling. See the Calendly Privacy Notice.
  • Google Analytics (Google LLC) — website analytics. See Google’s Privacy Policy and How Google uses information from sites that use its services.

These providers are permitted to use your information only as needed to provide their services to us.

6. How we share information

We do not sell your personal data and do not share it for cross-context behavioral or targeted advertising. We may disclose information only:

  • To the service providers listed above, acting as our processors;
  • To comply with applicable law, legal process, or a lawful government request;
  • To protect the rights, property, or safety of chart2chart, our users, or the public;
  • In connection with a merger, acquisition, or sale of assets, in which case we will notify affected users as required by law.

7. Data retention

We keep personal data only for as long as necessary to fulfill the purposes described in this Policy — for example, to follow up on a demo request and maintain business records — after which we delete or de-identify it, unless a longer retention period is required by law.

8. Data security

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal data against unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your privacy rights

Depending on where you live, you may have rights regarding your personal data, including the right to access, correct, delete, or obtain a copy of it. To exercise any right, contact us using the details in the Contact us section. We will not discriminate against you for exercising your rights.

10. Texas residents (Texas Data Privacy and Security Act)

If you are a resident of Texas, the TDPSA provides you the following rights with respect to your personal data:

  • Right to confirm and access — to confirm whether we process your personal data and to access it;
  • Right to correct — to correct inaccuracies in your personal data;
  • Right to delete — to delete personal data provided by or obtained about you;
  • Right to data portability — to obtain a copy of your personal data in a portable, readily usable format;
  • Right to opt out — of (i) the sale of personal data, (ii) targeted advertising, and (iii) profiling in furtherance of decisions that produce legal or similarly significant effects.

We do not sell personal data, do not process it for targeted advertising, and do not engage in profiling that produces legal or similarly significant effects. We also do not sell sensitive or biometric personal data.

How to exercise your rights. Submit a request to support@chart2chart.com. We will respond within 45 days, with one 45-day extension where reasonably necessary, and will notify you if so.

Appeals. If we decline to act on your request, you may appeal by emailing support@chart2chart.com with the subject line “Privacy Appeal.” We will respond to your appeal within 60 days. If your appeal is denied, you may contact the Texas Attorney General to submit a complaint at texasattorneygeneral.gov.

11. Children’s privacy

This Site is intended for a business audience and is not directed to children under 13. We do not knowingly collect personal information from children under 13 in violation of the federal Children’s Online Privacy Protection Act (COPPA). If you believe a child has provided us information, please contact us and we will delete it.

12. Do Not Track

Some browsers offer a “Do Not Track” (DNT) signal. Because there is no common industry standard for DNT, the Site does not currently respond to DNT signals. You can still manage tracking through the cookie and opt-out controls described above.

13. HIPAA note

chart2chart’s patient application is designed to meet HIPAA requirements and processes protected health information (PHI) under a separate agreement with participating clinics. This marketing Site does not knowingly collect PHI. Please do not submit any health information through the demo form or other Site channels.

14. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Site after changes take effect constitutes acceptance of the updated Policy.
